How Parasol Alliance Transformed IT into a Strategic Asset

St. Paul Elder Services was committed to delivering exceptional, mission-driven care, but outdated technology and unreliable systems were holding the organization back. Staff faced daily frustrations with slow computers, poor connectivity, and manual processes, without a clear technology strategy.

By partnering with Parasol Alliance, St. Paul began a comprehensive technology transformation that stabilized infrastructure, strengthened security, and introduced a strategic roadmap. Today, technology serves as a reliable foundation that empowers staff, supports innovation, and enhances the experience for residents and families.

St. Paul Elder Services is a multi-site nonprofit senior living organization based in Kaukauna, Wisconsin, with a mission to enrich the lives of older adults through compassionate, values-driven care. Founded in 1943, the organization has served the Fox River Valley for more than 80 years and provides a full continuum of services including assisted living, skilled nursing, rehabilitation, memory care, hospice, and home- and community-based programs.

The Challenge

St. Paul faced widespread technology disruptions. Staff dealt with slow computers, unreliable Wi-Fi, poor phone service, and manual processes. Security was minimal, communication tools were lacking, and there was no cohesive IT strategy in place. St. Paul had a Technology Assessment & Strategic Roadmap completed.

Key issues found:

  • Obsolete operating systems and infrastructure

  • Paper-based workflows

  • Limited security awareness

  • Fragmented communication tools

  • Staff frustration and no clear technology vision

They needed a partner, not just for technical support, but for long-term strategic direction.

Stabilizing and Modernizing Systems

Parasol Alliance and St. Paul Elder Services began a Managed Services Provider (MSP) partnership and began by stabilizing core infrastructure. This included:

  • Replacing failing hardware and upgrading systems

  • Installing reliable network and phone infrastructure

  • Building out IT for an acquired assisted living building, McCormick Assisted Living

  • Improving cybersecurity measures and scheduling tools

With reliable systems in place and a clear path forward, leadership gained confidence and staff were empowered to do their jobs more effectively. These foundational upgrades continue to support new services and expansion efforts.

Building a Strategic Technology Framework

Once systems were stabilized, the focus shifted from fixing issues to designing solutions that aligned with the organization’s goals.

Key initiatives included:

  • Server consolidation and modernization

  • Simplifying account access and management

  • Structured project planning and recurring strategy sessions

  • Clear documentation and training to empower staff

With a detailed technology roadmap in place, infrastructure improvements are now tied to organizational goals and are regularly reviewed with leadership.

Strengthening Security at Every Layer

Previously, the community had no formal approach to security. There was no training, little awareness, and no structured risk assessment.

That changed dramatically through the implementation of Parasol Alliance’s cybersecurity services: Managed Security Services Partnership.

The community has shared that the email security training alone has helped prevent security instances. Internal vulnerability scanning now proactively identifies weaknesses within their environment, while external penetration testing simulates real world attack scenarios to uncover gaps before bad actors can exploit them. The HIPAA Security Risk Assessment provides leadership with a structured understanding of compliance requirements, risk exposure, and a clear plan for remediation and continuous improvement.

Security enhancements continue to evolve alongside infrastructure improvements, ensuring resilience against emerging threats and giving leadership confidence that resident data and organizational operations are protected.

Empowering Staff with Better Tools

Technology had been a source of frustration. Slow systems and inconsistent access left staff feeling unsupported.

Today, systems are reliable, user-friendly, and accessible from multiple locations. Tools are tailored to each role, enabling staff to work more efficiently. Ongoing improvements, like Wi-Fi enhancements, are part of the active technology roadmap.

Enhancing the Resident Experience Through Innovation

As resident expectations grew, the organization expanded its focus beyond operational IT. The current roadmap includes:

  • Exploring voice-assisted technology and smart devices

  • Implementing VR tools for engagement and memory care

  • Expanding communication tools for families

  • Considering Tech@Home services to directly support residents

Technology has become a meaningful contributor to resident satisfaction and quality of life.

A Strategic Partnership, Not Just a Vendor

Parasol Alliance became an extension of the St. Paul’s leadership team. With a flat-fee model, dedicated on-site support, and deep senior living experience, Parasol continues to help the organization:

  • Operate on a stable, modern foundation

  • Align technology with strategic objectives

  • Proactively address future challenges

  • Deliver better outcomes for residents and staff alike

The Impact: From Frustration to Transformation

This journey highlights what’s possible when technology is managed strategically. With the right partner, the organization moved:

  • From disruption to dependability

  • From isolated fixes to long-term planning

  • From reactive support to forward-thinking innovation

Parasol Alliance helped turn technology into a strategic enabler, one that supports the mission, empowers staff, and enriches resident lives.
